Dear CSB members,



Regarding space related issues in Tunis, WSIS ES informed us yesterday that
Civil Society will have 412 m2 of space in the Kram Center (please find
e-mail from Mr. Nakaya below). The CSB is invited to discuss internally how
we would like to utilize this space and to indicate to WSIS ES by 2
September how we want the space to be divided by walls, furnished with desks
and chairs, and where ICT equipment will be located.



Below you will find a draft proposal based on the previous CSB requests to
WSIS ES (see the attached e-mail by Renate, dated 30-5-2005). CSB Members
will have the time until Thursday 1 September (Geneva time) to send us
comments and proposals on the basis of our draft. Then we will prepare the
final requirements on Friday morning and mail them to the WSIS ES.



Please consider first of all that this is much more space than we had for
WSIS Phase I in Geneva.



Draft proposal:



In the draft map (see attached file), we have divided the space into:

-          1 Meeting room for CSB meetings (ca. 8 x 10m) with tables and
chairs for 30/35 people

-          1 Meeting room for workgroups and caucuses (ca. 6 x 10 m) with
tables and chairs for 20/25 people

-          1 equipped office for CSB Secretariat (4 x 6m). In addition, we
request the CSB secretariat Office to be located very near the WSIS ES, in
order to improve interactions. This would also leave room for an additional
cubicle in the CS area.

-          7 smaller cubicle offices (preferably 8) for CS Families (each
around 3 x 4 m), with desk and 1 PC each

-          1 information booth located at the entrance hall, with 1 PC
connected to Internet and 1 telephone.

The remaining space will be a working area equipped with tables, chairs and
Internet connections for laptops. We suggest small tables (that is easy to
rearrange) and chairs for 50-70 people.



Concerning ICT equipment we suggest:

-          Each of the 7(8) small offices will have one PC connected to the
Internet, the CSB Secretariat office will have two, and the last PC will be
situated in the working area and connected to the plasma screen.

-          Photocopier and 1 printer in CSB secretariat, 2 printers in the
working area.

-          Preferably 50 internet connections for laptops which should be
distributed with 30 in the working area and 10 in each meeting room.

-          12 telephones: one in the information booth, one in each cubicle
office, one in the CSB Secretariat office, and two in the working area.

-          In addition we need a TV or Monitor with feed to the plenary. The
monitor placed in the CS area would allow people to follow the proceedings
in the plenary room - without having to be there...

-          Free WiFi Connection

-          All equipment provided free of charge

soon as possible and before Thursday 1 September.

I am sending this message to supplement Mr. Geiger's message sent out a half
hour ago.



As he indicated, Civil Society has been allocated a space of 412m2 in the
official summit perimetre in the Kram centre.

Please find attached, the location of the space in the Kram centre.

Unfortunatelly, this space has only one entrance and it seems difficult to
install another entrance to this space.

Now, You are asked to indicate how this space be divided by walls and
furnished with desks and chairs by 2 September.



Regarding your request for ICT equipment (your message is attached), our
current response for this space is as follows.

1) WiFi: Available anywhere in the Kram centre, but will be charged

2) 40 Internet Connections for laptop PCs

3) 10 PCs for the Secretariat of Civil Society connected to Internet

4) 3 Printers

5) 1 Photocopier

6) 1 Plasma screen connected to one of the PCs indicated above. This PC will
have Internet Rountable IP address.

7) Power supply to meet the need for the above mentioned equipment

You are asked to indicate where those equipment be exactly located by 2
September since we have to arrange cables in this space.

If you wish to make changes to the number of each equipment, please contact
me before 31st of August.



All the equipment mentioned above would be provided at free of charge, in
principle. But we are waiting for the confirmation from the host country.

Please note that all the specificatin should be cited in the host country
agreement to be signed by ITU and the host country.This is the reason we
should expect your reply by the date indicated above.



With regard to a telephone, if it is for local call only, it could be
provided at free of charge. If you wish to have one for international calls,
the Civil Society Bureau will be charged for the tariff.  Please indicate
the number of telephone set needed in this space before 31st of August, if
necessary. For your information, mobile phones can be used in the Kram
centre.



In addition to the space stated above, the Civil Society secretariat can
have 1 information booth located at the entrance hall. (It is indicated as
"INFO" in the plan sent by Mr. Geiger.)  It is equipped with 1 PC connected
to Internet. If you wish to make use of it, please confirm before 31st of
August.

Please find attached a map of the civil society area at the Kram Center. We
would like to invite you to discuss internally in the CSB how this space
could be utilized/divided. It would be for all activities of civil society
including Bureau meetings, but without the Plenaries. As discussed, for CS
plenaries we would put the room of the Committee of the whole at your
disposal from 16-18 November, whenever available (a possible Committee
meeting would have precedence over the civil society meeting). This room has
around 480 seats and is the biggest room in the Kram besides the Plenary
hall. This room is equipped with 6 interpretation booths.



I do not exclude that the CSB could use the meeting room reserved for the
Government Bureau (again of course only if the Government Bureau does not
meet or there are no other official events in this room). The Government
Bureau room has 100 seats and 3 interpretation booths.
